
BILLING AND COLLECTING UNIVERSITY FUNDS FOR SALES & SERVICE
Many departments at the university enter into agreements with outside organizations to provide services or sell products. Often the department produces an invoice and sends it to the customer without notifying the business office. The mailroom is instructed to forward all payments to the business office. If the business office is not aware of the invoice, the staff often spends time tracking down where the funds belong and usually has to call the customer. Our customer service is not at our best when this occurs.
There are two easy options to solving this issue. 1.) Send a copy of any customer invoices to the Business Office Student Accounts team at StudentAccountTeam@huntington.edu. Be sure to include on the invoice the appropriate account to be credited. 2.) Send the billing information to the StudentAccountTeam@huntington.edu and we will prepare and send the invoice.
The advantage of the two options is that funds will be posted to the correct account as soon as the billing is sent. In addition, the Student Account Team will track the outstanding invoice and follow up with the department if the payment is not received.
